Sacramento ACT seeks a detail-oriented Administrative & Events Assistant to support staff, board, and volunteers. Duties include event planning, admin tasks, and setting up spaces (lifting up to 40 lbs). Ideal for an organized, community-minded individual. Bilingual is a plus!

What You Will Do

This role supports our staff, board, and volunteers. You will work closely with many groups in our community and be a key part of our mission. You will report to the Director of Operations. Your tasks include:

Administrative Support

  • Research and follow up on messages from the general voicemail and inbox

  • Maintain and create office files

  • Open, sort, and distribute mail

  • Send donation acknowledgments by email or mail

  • Manage calendars and schedule meetings

  • Arrange travel, including booking hotels and transportation

  • Write emails and letters on behalf of office staff

  • Complete office tasks like filing, typing, copying, scanning, and binding

  • Assist with other administrative duties as needed

Data Management

  • Enter and update data in our Donor Management system

  • Maintain accurate records of donors, volunteers, and event participants

  • Create and update spreadsheets and reports using Microsoft Excel and Google Sheets

  • Track event attendance and community engagement metrics

  • Organize and analyze data to improve event planning and outreach efforts

Event Support

  • Take meeting notes or minutes

  • Create and send calendar invites

  • Schedule Zoom meetings

  • Create and update documents, presentations, and outreach materials using Microsoft Word, Excel, PowerPoint, Google Docs, and Sheets

  • Design event graphics using Canva for marketing and outreach

  • Assist with event setup and cleanup

  • Run errands for event supplies and food as needed

Facilities & Office Support

  • Keep common areas clean and organized

  • Communicate with building management about facility needs

  • Reserve facilities for events at office and off-site locations

  • Ensure the office is tidy and well-stocked with supplies

Qualifications

  • Strong data entry and data management skills

  • Experience using Microsoft Office (Excel, Word, PowerPoint), Google Suite, and Canva

  • Highly organized and able to track multiple tasks and projects

  • Ability to lift and carry up to 40 lbs for event setup

  • Comfortable working on multiple tasks at once

  • Passion for community work and teamwork, leadership, and spirituality.

  • A caring and respectful attitude toward community members, faith leaders, and volunteers.

Compensation: Starting at $25/hour with annual compensation reviews contingent upon budget and meeting employee goals. Automatic 5% 401k employer contribution after one year of employment and 1000 hours of work.  

Location: Sacramento County. This position is in-office. 

Benefits: 100% company paid family health, dental healthcare, employee life insurance and long-term disability.  Employee qualifies for our 401k after one year of employment. A generous PTO package: End of year paid holiday (December 26th-New Years Day) + 13 Holidays + 6 Sick Days + 5 Vacation Days. Sacramento ACT may grant two (2) additional days for religious purposes, subject to Director approval.
